Terms & Conditions

Please read these terms carefully before using Stoqee. By accessing or using our platform, you agree to be bound by the terms described in this document, including our Data Usage Policy.

1. Acceptance of Terms

These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("User", "you", or "your") and Stoqee ("Company", "we", "us", or "our"), governing your access to and use of the Stoqee platform, website, mobile application, and all related services (collectively, the "Service").

By registering for an account, clicking "I Agree", accessing, or using the Service in any manner, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must immediately stop using the Service.

If you are using the Service on behalf of a business or organisation, you represent and warrant that you have the authority to bind that entity to these Terms, and the term "you" shall refer to that entity.

2. Description of Service

Stoqee is a unified inventory and operations platform designed for warehouses, dispatch teams, and multi-store commerce businesses. The Service includes, but is not limited to:

  • Inventory management, stock counting, and reconciliation
  • Order processing, packing, and dispatch management
  • Courier account integration and parcel tracking
  • Supplier and courier ledger management
  • Returns, warranty, and gate pass management
  • Expense tracking and basic analytics
  • Product management with optional Shopify CSV import
  • Task management and operational coordination tools

Stoqee is currently in internal beta. Features, interfaces, and functionality may change at any time without prior notice. We make no guarantee of continuous availability or feature permanence during the beta period.

3. User Accounts & Access

3.1 Account Registration

To use the Service, you must register for an account by providing accurate, complete, and current information. You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account.

3.2 Account Eligibility

You must be at least 18 years of age to create an account. By registering, you represent that you meet this requirement. Use of the Service by minors is strictly prohibited.

3.3 Lite Plan Limitations

The free Lite plan is limited to one (1) user account per business, a soft limit of 100 orders per month, and unlimited products. Exceeding the order limit may result in temporary feature restrictions. Stoqee will notify you before applying any restriction.

3.4 Account Security

You agree to notify Stoqee immediately at support@stoqee.com upon becoming aware of any unauthorised use of your account. Stoqee cannot and will not be liable for any loss arising from your failure to maintain account security.

4. Acceptable Use

You agree not to use the Service to:

  • Violate any applicable local, national, or international law or regulation
  • Upload, transmit, or distribute any malicious code, viruses, or harmful software
  • Attempt to gain unauthorised access to any part of the Service or its infrastructure
  • Use the Service to manage, process, or facilitate illegal goods, transactions, or activities
  • Reverse engineer, decompile, or attempt to extract the source code of the platform
  • Use automated scripts, bots, or crawlers against the Service without written permission
  • Resell, sublicense, or otherwise transfer access to the Service to third parties
  • Impersonate another person or entity, or misrepresent your affiliation

Stoqee reserves the right to suspend or terminate accounts that violate these provisions without notice and without liability to the User.

5. Data Usage Policy

This Data Usage Policy forms an integral part of these Terms and Conditions and governs how Stoqee collects, processes, stores, and uses information in connection with the Service. By using Stoqee, you consent to the data practices described in Sections 5 through 11.

Stoqee is committed to responsible, transparent, and lawful handling of your data. We collect only what is necessary to provide the Service, and we use it solely for the purposes described in this Policy. We do not sell your personal data to third parties.

6. What Data We Collect

6.1 Account & Identity Data

  • Full name, email address, and password (hashed)
  • Business name, location (city/country), and contact number
  • Account creation date and last login timestamp

6.2 Operational Data

  • Products, variants, SKUs, stock levels, and warehouse configurations
  • Orders, packing records, dispatch events, and order statuses
  • Courier bookings, tracking numbers, and parcel delivery records
  • Supplier and courier ledger entries, transactions, and balances
  • Returns, replacements, gate passes, and warranty records
  • Stock count sessions, observations, and reconciliation snapshots
  • Expense entries and task records

6.3 Usage & Technical Data

  • Browser type, operating system, and device identifier
  • IP address, session duration, and page navigation events
  • Feature usage patterns and error logs (used for debugging and improvement)
  • Scan events, scan method (USB, camera, manual), and device ID

6.4 Communications Data

  • Support requests, feedback messages, and emails you send to Stoqee
  • In-app comments, notes, and any content you voluntarily submit

7. How We Use Your Data

Your data is used for the following purposes:

7.1 Service Delivery & Operations

  • Providing, operating, and maintaining the Stoqee platform
  • Processing your inventory, orders, dispatches, and courier bookings
  • Generating reports, analytics dashboards, and variance summaries
  • Maintaining immutable audit logs for reconciliation and compliance
  • Sending transactional notifications (order status, sync alerts, errors)
  • Authenticating your identity and maintaining session security
  • Diagnosing technical issues, monitoring uptime, and improving reliability

7.2 Product Improvement

  • Analysing aggregated, anonymised usage patterns to improve features
  • Understanding which workflows are most commonly used
  • Informing roadmap decisions and prioritisation of new functionality

7.3 Customer Support

  • Responding to your support requests and troubleshooting issues
  • Reviewing account activity when investigating reported problems

8. Marketing & Email Campaigns

Stoqee uses your email address and usage context to send you relevant communications. This section clearly describes what you may receive and how you can opt out.

8.1 Transactional Emails

We send emails that are necessary to deliver the Service, including account verification, password resets, billing notifications, and critical platform alerts. These cannot be opted out of while your account is active, as they are required for the Service to function.

8.2 Marketing & Promotional Emails

We may use your email address and account data to send you marketing communications, including:

  • New feature announcements and product updates
  • Promotional offers, beta perks, and early access notifications
  • Industry tips, operational guides, and educational content
  • Surveys and feedback requests to improve the platform
  • Partner announcements and integration launches

Your marketing preferences:You may opt out of marketing emails at any time by clicking the "Unsubscribe" link at the bottom of any marketing email, or by emailing us at support@stoqee.comwith the subject line "Unsubscribe". We process opt-out requests within 5 business days. Transactional emails cannot be unsubscribed from.

8.3 In-App Marketing Module

The Stoqee platform includes a marketing section that allows you to launch email campaigns to your own customers using data stored within your account (such as customer names and email addresses). You are solely responsible for:

  • Obtaining proper consent from your own customers before emailing them
  • Complying with applicable anti-spam and email marketing laws
  • The content, accuracy, and legality of any campaigns you send
  • Managing unsubscribe requests from your own customers

Stoqee provides the tooling — you retain full responsibility for how you use it. Stoqee does not review or approve the content of campaigns sent by users.

9. Data Protection & Security

Stoqee takes the protection of your data seriously. We implement a range of technical and organisational measures designed to protect your information against unauthorised access, accidental loss, alteration, or disclosure.

9.1 Measures We Take

  • Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS/HTTPS
  • Encryption at rest: Sensitive data stored in our database is encrypted at rest
  • Password security: Passwords are hashed using industry-standard algorithms and are never stored in plain text
  • Access controls: Internal access to production data is restricted to authorised personnel only, on a need-to-know basis
  • Row-level security: Our database enforces store-level isolation — your data is inaccessible to other tenants
  • Session management: Sessions expire automatically and are invalidated on sign-out
  • Audit logging: All critical data changes are logged with immutable audit trails
  • Infrastructure: Stoqee is hosted on enterprise-grade cloud infrastructure with high availability and automated backups

9.2 Your Responsibilities

You also have a role to play in keeping your data secure. You are responsible for keeping your password confidential, using a strong and unique password, enabling any available multi-factor authentication, and logging out of shared devices.

10. Security Incident Disclaimer

Important Notice — Please Read Carefully

While Stoqee implements robust security measures and is committed to protecting your data, no system connected to the internet can be guaranteed completely secure. In the event of a sophisticated, large-scale cyberattack — including but not limited to distributed denial-of-service (DDoS) attacks, zero-day exploits, supply chain compromises, or advanced persistent threats — there is a possibility that data may be exposed, accessed without authorisation, or otherwise compromised despite our best efforts.

By using the Stoqee platform, you acknowledge and accept that:

  • No security measure is infallible, and Stoqee cannot provide an absolute guarantee against all possible breaches
  • In the event of a confirmed data breach, Stoqee will notify affected users as quickly as reasonably possible, and in compliance with applicable data protection regulations
  • Stoqee will take immediate steps to contain, investigate, and remediate any confirmed security incident
  • Stoqee's liability in the event of a security breach is limited as described in Section 14 (Limitation of Liability)

10.1 Breach Notification

If we become aware of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you by email within a reasonable timeframe, not exceeding 72 hours of our awareness where operationally feasible. The notification will include the nature of the breach, the types of data involved, steps we are taking, and any actions we recommend you take.

10.2 What You Can Do

We recommend not storing highly sensitive personal information (such as national ID numbers, financial account credentials, or medical records) within the Stoqee platform, as it is designed as an inventory and operations tool, not a general data vault. Operational business data (orders, products, ledgers) is what the platform is designed to hold.

11. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Specific retention rules:

  • Active accounts: All operational data is retained indefinitely while your account is active
  • Deleted accounts: Upon account deletion, personal account data is removed within 30 days. Audit logs and reconciliation records may be retained for up to 7 years for legal and compliance purposes
  • Marketing data: Email preferences and unsubscribe records are retained to honour your opt-out status even after account deletion
  • Backups: Anonymised or encrypted backup copies may persist for up to 90 days after deletion before being purged from all backup systems

To request deletion of your account and associated data, contact us at support@stoqee.com. We will confirm receipt and completion of the request within 14 business days.

12. Third-Party Services

To provide the Service, Stoqee integrates with and relies on certain third-party services. These include:

  • Supabase: Database hosting, authentication, and real-time infrastructure
  • Courier partners (Leopards, PostEx, and others): Order data including recipient name, address, contact number, and parcel details are transmitted to your chosen courier provider to fulfil bookings. This data is governed by the courier's own privacy policy
  • Email delivery providers: Used to send transactional and marketing emails on our behalf
  • Analytics tools: Aggregated, anonymised usage data may be processed by analytics tools to improve the platform

Stoqee does not control the data practices of third-party services and is not responsible for their actions. We encourage you to review the privacy policies of any third-party service that processes your data.

When you connect your courier account, you are sharing your courier credentials and booking data with that courier directly. Stoqee stores only the information necessary to facilitate bookings on your behalf.

13. Intellectual Property

The Stoqee platform, including its source code, design, logos, trademarks, written content, and all related materials, is the exclusive property of Stoqee and its licensors, protected by applicable intellectual property laws.

You are granted a limited, non-exclusive, non-transferable, revocable licence to access and use the Service for your internal business operations, subject to these Terms. You may not reproduce, distribute, modify, or create derivative works of any part of the Service without express written permission.

Your business data (products, orders, customers) remains your property at all times. By using the Service, you grant Stoqee a limited licence to process and store that data solely for the purpose of providing the Service and as described in this Policy.

14. Limitation of Liability

To the fullest extent permitted by applicable law, Stoqee and its officers, directors, employees, and affiliates shall not be liable for:

  • Any indirect, incidental, special, consequential, or punitive damages
  • Loss of profits, revenue, data, goodwill, or business opportunities
  • Damages resulting from unauthorised access to or alteration of your data, including as a result of a security breach
  • Service interruptions, downtime, or data loss during the beta period
  • Losses arising from your reliance on data generated by the Service
  • Actions of third-party services, couriers, or integrations

In no event shall Stoqee's total liability to you for all claims exceed the amount you paid to Stoqee in the twelve (12) months preceding the claim. For users on the free Lite plan, this amount is zero (PKR 0), which reflects the nature of the free tier.

Some jurisdictions do not allow certain limitations of liability, in which case the above limitations may not apply to you to the extent restricted by law.

15. Termination

15.1 By You

You may terminate your account at any time by contacting support@stoqee.com. Upon termination, your right to access the Service immediately ceases. Data deletion follows the timeline described in Section 11.

15.2 By Stoqee

Stoqee reserves the right to suspend or permanently terminate your account at any time, with or without notice, if we reasonably believe you have violated these Terms, engaged in fraudulent or harmful activity, or if we discontinue the Service. We will make reasonable efforts to notify you in advance where possible.

15.3 Effect of Termination

Sections 6 through 14 and Section 17 shall survive termination of these Terms and shall continue in full force and effect.

16. Changes to These Terms

We may update these Terms and Conditions from time to time. When we make material changes, we will notify you by email and/or by displaying a prominent notice within the Service at least 14 days before the changes take effect.

Your continued use of the Service after the effective date of the updated Terms constitutes acceptance of the changes. If you do not agree to the revised Terms, you must stop using the Service before they take effect.

The most current version of these Terms is always available at stoqee.com/terms.

17. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of Pakistan, without regard to conflict of law principles.

Any dispute arising out of or in connection with these Terms that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of Pakistan. You agree to submit to personal jurisdiction in Pakistan for any such proceedings.

We encourage you to contact us first at support@stoqee.com before initiating any formal proceedings — most issues can be resolved directly and quickly.

These Terms and Conditions were last updated on 20 May 2026 and are effective from 20 May 2026. They supersede all previous versions. If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect. Stoqee is a product under active development. These terms will evolve as the product matures and as required by applicable law.
